Step-by-Step: How to Migrate Your Payroll to Myaccountant

1. Sign Up and Set Up Your Business Account

  • Sign up for a free trial on the Myaccountant website.
  • Use the setup assistant to add your ABN, business info, and banking details.
  • Choose and enable your payroll plan under “Plans & Billing”.

2. Add Your Employees

You can add employees in three ways:

  • Manually (via Payroll > Employees > Add Employee)
  • Bulk import using Excel (via Employees > Options > Import)
  • Import from Xero, Deputy, or Tanda integrations

Make sure to include:

  • Personal details
  • Bank info
  • TFN and tax declarations
  • Super fund details
  • Leave entitlements
  • Employment start date (must be before the migration date)

3. Create a Migration Pay Run

  • Go to Payroll > Pay Runs
  • Click the dropdown next to Add Pay Run, then select STP Migration
  • Click Create to confirm

🔒 Note: The pay date for this pay run will default to today’s date and cannot be changed.

4. Add Your Previous BMS ID

  • Open the newly created migration pay run
  • Click Previous BMS ID at the top right
  • Enter your Business Management Software ID from your previous payroll provider
    • You can find this in your old payroll software or ATO Business Portal

5. Review and Add Employees to the Migration Pay Run

  • All employees with a start date before the migration pay date will be automatically added
  • If any are missing:
    • Click Add Employee
    • Select the missing employees from the list
    • If the employee doesn’t appear, check their employment start date in their profile

6. Enter Year-to-Date (YTD) Opening Balances

  • Open each employee in the migration pay run
  • Enter the previous Employee's Payroll ID
  • Add pay items that reflect their total earnings, super, and tax paid up to the migration date
  • Include:
    • Gross earnings
    • PAYG withholding
    • Super (SG and salary sacrifice)
    • Leave balances (optional)
  • You can find this data in your previous payroll reports

7. Finalise and Submit the Migration

  • Once all employee records are updated:
    • Click Finalise
    • Then click Submit
  • On the lodgement declaration screen:
    • Tick the box
    • Enter your name
    • Click Send Update

The update will be sent to the ATO and link the previous STP data with your new payroll system.

You're All Set!

Once the migration is complete, you can now:

  • Add new pay runs
  • Lodge STP submissions
  • Pay super via Beam
  • Email or download payslips

Common Questions

Do I need to inform the ATO I’ve changed payroll software?

No. As long as you submit a migration STP update with your previous BMS ID, the ATO will recognise the change automatically.

Will employee leave balances carry over?

Yes, but you must manually enter opening leave balances in each employee’s profile under the Leave Settings section or in the migration pay run.

What if my old software didn’t report STP correctly?

Speak with your accountant or bookkeeper — or contact our support team — to ensure the STP migration reflects accurate totals.

Useful Tips

  • Use Direct Debit in Beam for seamless super payments.
  • Double-check TFNs, tax scales, and super funds during migration.
