How to Setup Leave for Employees

Step-by-Step: How to Set Up Leave for Employees
1. Access the Employees Section
- Go to the side menu and open Payroll > Employees
2. Select an Employee
- Click on the employee's name to open their profile
3. Enable Leave Entitlements
- Click on the Leave Settings section
- Click Edit, then toggle Enable Leave
- This activates leave tracking for this employee
4. Configure Leave Settings
- Leave Accrual Start Date: Leave this blank unless you want the accrual to start from a particular date, otherwise the leave will accrue from the employment start date (entered in Employment section).
- Select an Accrual Method:
- Per Pay: Leave accrues by pay period (regardless of hours worked). Update Pay frequency as appropirate.
- Per Hour Worked: Leave accrues based on actual hours worked โ ideal for part-time and casual employees. Update full time hours as appropriate.
- Adjust Annual and Sick Leave Entitlements:
- Default values:
- 152 hours/year for Annual Leave
- 76 hours/year for Personal/Sick Leave
- You can update these to match your business policy or award conditions

5. Add Opening Leave Balances (Optional)
- If the employee has existing leave carried over from another system, enter those balances here
6. Save the Settings
- Click Update to apply your changes
7. Leave Management in Pay Runs
- During payroll processing:
- Leave accrues and is tracked in real-time.
- You can enter leave taken by adding a Leave Pay Item (e.g., Paid Leave or Sick Leave) in the pay run.
