How to export pay run data to Xero
Overview
Easily export your payroll data from Myaccountant to Xero. This guide explains how to generate and post journals from a finalised pay run directly into your Xero ledger.
Export Pay Run Data to Xero
Go to Pay Runs
1. In the left-hand menu, click Payroll > Pay Runs.
2. Click "Pay runs"
Open the Pay Run
3. From the list of pay runs, click on the pay run you want to export.
> ⚠️ Make sure the pay run is finalised before exporting.
4. At the top-right above the pay run screen, click the Xero button.
5. A confirmation popup will appear.

Review the amounts and confirm the correct Xero ledger accounts are mapped.

Click Export Data to Xero.
6. Choose Export Type
Select whether you want to:

Export as Draft Journal – to review in Xero before posting.

Post Journal – to directly post to Xero.
7. Once the export is complete, you will see a status tag confirming that the pay run data was successfully exported to Xero.
Useful Tips
- 🔄 Mapped Accounts: You can manage your Xero account mappings under Integrations > Xero Settings.
- 🧾 One-time Setup: Ensure you’ve connected your Xero account to Myaccountant before exporting (via the Integrations menu).
- 🛠 Re-exporting: If needed, delete the journal in Xero first before re-exporting the same pay run.
